Sunmeadow Pools

Our Process

How a project moves from first message to finished pool, and how that same coordination carries into ongoing care.

We built our process around one idea: a client should never have to re-explain their project to a new person. One coordinator is assigned at the first contact and stays attached to the property through design, construction and into the maintenance relationship that follows. That person knows the site history, so follow-up questions get answered quickly instead of being relayed through a dispatcher.

Each stage below ends with something concrete in the client's hands — a written estimate, a signed design, an inspection pass, a maintenance calendar — so progress is visible rather than assumed.

This structure grew out of some early jobs where a build crew and a maintenance crew operated almost independently, and clients had to repeat the same background information twice. Keeping one person across both sides removed that friction, and it's now how every project runs, from a single consultation through to years of seasonal visits.

From first contact to ongoing care

01

Contact

You reach us by form, phone or email; we confirm a site-visit window within one business day.

02

Design & quote

We assess the property and return a written design summary with an early-stage estimate.

03

Build or service

Approved work proceeds on a confirmed schedule, with inspections and check-ins along the way.

04

Ongoing care

The build transitions into a maintenance and seasonal calendar with the same coordinator.

Why we work this way

None of this is complicated on its own — the value is in doing it the same way for every property, every time, so a client who's been with us three years gets the same clear communication as someone on their first call.

Fewer handoffs

One coordinator reduces the chance of details getting lost between stages.

Written confirmations

Estimates, designs and maintenance plans are documented, not just discussed verbally.

Honest scheduling

We quote realistic windows tied to permits and Ottawa weather, not optimistic guesses.

How estimates become final prices

The starting prices on our Services page reflect typical scope. After the site assessment, you receive a written quote reflecting your property's specific conditions — access, soil, chosen materials — before any work is scheduled.

If the assessment turns up something that changes the scope — unexpected rock, a tight access route, drainage that needs rerouting — we pause and explain the change before adjusting the quote, rather than absorbing it quietly into a larger invoice later.

What helps the first visit go smoothly

None of the items below are required to get started — we can work most of this out together on-site — but having them ready tends to make the first visit faster and the resulting estimate more accurate.

  • A rough idea of your budget range and priorities
  • Any existing property survey or utility locate information
  • Photos of the yard from a couple of angles, if sending ahead by email
  • Notes on any existing drainage, slope or fence lines we should plan around

If you're not sure what counts as useful information yet, don't worry about it — the first conversation is as much about us asking the right questions as it is about you arriving with a complete brief.

Start the process with a short conversation.
